Submitting Dormitory Registration and Fees
INSTRUCTIONS FOR SUBMITTING DORMITORY REGISTRATION & FEES
I. On-line Registration:
Dormitory registration is completed using a similar format as contest registration, i.e. the instructions for on-line dorm registration are very similar to contest registration.
Dorm Registration is completed separately from contest registration. A youth entered in a contest is not automatically entered in the dorms, nor is a youth entered in the dorms automatically entered in any contests.
A. Once the data for a dorm registrant has been completed or updated (from last year's info), the youth is added to the list of those registered for the dorms by clicking on "Add to dorm registrants" under the Select Action button at the bottom.
B. Use the "Update dorm registrant date/status" action to update ages, addresses, phone numbers, etc.
C. To switch from entering youth to entering chaperones, choose "Chaperones" in the dropdown box at the top and hit the "Go There" button or choose the "Change counties and/or contestants/chaperones" action under the select action button at the bottom. Then enter data as for contestants.
D. Confirming by Email:
A list of all registered and the days they are registered for will be sent to the email address of Contact Person 1 when the "confirm by email" action is chosen from the select action button and submitted. On the confirmation, "S" indicates Sunday, "M" indicates Monday.
II. Additional Materials needed:
A. Complete the dormitory registration fees worksheet.
B. Collect all Health & Permission forms. Forms must be signed by parent and participant. Forms are not needed from chaperones.
C. Send the fees worksheet, check, and all health & permission forms as a group from a county.
III. Deadline:
A. On-line registration must be completed by 11:00 pm Friday, June 13, 2008. Fees worksheets and accompanying payment must be postmarked no later than June 16. Absolutely no additional names can be accepted after on-line registration closes.
Medical releases should be sent with fees worksheets by June 16. Youth cannot stay in the dorms without completed medical releases.
